Terms and Conditions 
Rental dates and rental product availability are not guaranteed until this form is signed and reservation retainer is received. Weekend orders may be self-picked up on Friday between the hours of 9:00am-5:00pm. Orders are due back on Monday between 9:00am-5:00pm. We are closed on Saturdays and Sundays. Weekday orders may be picked up the day before an event and are due back the following business day. Additional days incur an additional day’s rental fee. Any items on a discounted promotion are final and can not be changed. All orders are final ten days prior to the scheduled delivery or will call self-pickup date and the number of items cannot be reduced. Additions can be made based on availability and at the current retail price.

Delivery and Set Up 
Delivery options are available for any orders over $500 and standard delivery prices may vary upon location. Options such as time specific delivery or after hours delivery are available for an additional price. Please note that time specific deliveries are given a 30 minute window around the time chosen. Monday delivery/return windows are automatically set to anytime arrival between 9:00am-5:00pm due to high demand for Monday returns. A Monday morning window of services before 1pm will incur an extra $100 fee due to the high volume of orders coming in post weekend. Delivery fee does not include set up or take down services. If Monarch needs to deliver any items more than 50 feet away from the truck or that involve an elevator or stairs an additional charge will apply. Items must be stored indoors in a secure location until the scheduled return or self-dropoff. If items are not available or accessible upon the scheduled return, another day’s rental fee will be charged. Tables and chairs (including chiavari cushions) must be broken down and stacked if take down services are not included on your order; otherwise take down charges will be charged to the credit card on file. Last minute deliveries may be requested but not guaranteed. Please note that no time windows are guaranteed except the 30 minute window for the time specific and the 30 minute window for the after hours. All other windows are a courtesy and we will try our best to make the courtesy arrival windows. 
Tents 
All tent installations and breakdown can only be performed by the staff of Monarch Event Rentals. Client understands that tents are temporary structures and should not be used as a method for adverse weather protection and will not warrant a refund. Clients must let Monarch know prior to delivery each time a tent cannot be staked and must either have water barrels or tie downs; tie downs must be provided by the venue. Additional charges will apply to the client for not providing this information on the contract including additional delivery fees. Renter acknowledges that evacuation to a permanent structure is required in adverse weather. It is the renter’s responsibility to obtain all required permits from the city or other jurisdiction including a DIGS test from the utility company. This can be obtained by dialing 811. Renter holds harmless lessor for any damage that might occur to underground utilities as a result of installing the tent as well as any landscaping in and around the area. Renter is responsible for all cleaning/replacement charges that are accrued for any damage done to the tent. Renter also agrees to have all tents cleared of items prior to our arrival otherwise renter will need to pay all costs involved for any delay. The space will also need to be clear of any items for installation as well. Tent rain plans require a 50% reservation retainer (prior to 10-day mark) on the tent tops and all delivery fees to reserve the tent for your event. The reservation retainer is refundable if canceled 10 or more days prior to delivery date; however if the client cancels the reservation after the 10-day mark the reservation retainer is forfeited. Tents reserved under a rain plan may cancel the tent up until 48 hours prior to delivery (at 10AM) to not be required to pay the remaining balance due. It is the client's responsibility to know the date(s) of cancellation required for either refund (10 days prior to the delivery date) or not to pay the remaining balance (2-days prior to the delivery date). It is the responsibility of the renter to verify the tents ordered will fit in the location described. No refunds will be given if tents do not fit in the space allotted. Rain plans that are reserved less than 10-days prior to scheduled delivery require a 50% to 100% reservation retainer on the whole quoted order based on availability of items and labor. This reservation retainer is nonrefundable. 
For Rain Plan Tent Shares, we require 50% of the full order total as the reservation retainer, which will be split evenly between all parties (3 max). You have until 10 days prior to the date of delivery for the first event of the tent share to cancel the order and receive the reservation retainer back (all parties must be in agreement on the cancellation and all parties must call to cancel 10 or more days from the first event's delivery date). After this date (10 days from delivery of first event), the reservation retainer is forfeited and is nonrefundable and can not be used as a future credit. Final payment of the entire order is due 48 hours before the first event's delivery date. If all parties cancel by 10 am of the day that is 48 hours prior to the first event of the tent share, then no final payment is due. If all parties do not cancel by that time, then the remaining balance will still be charged and split evenly between all parties, even if the partial group wants to cancel. It must be a full cancellation from all parties to qualify for a cancellation of the remaining balance. The tent will only be installed on the date of the Drop Off listed on the order and will only be taken down on the date of the Pick Up listed on the order. We will not take the tent down early nor put it up later due to a change in weather. The freedom to choose individual install/teardown dates and times is lost with a Rain Plan Tent Share. Linens 
Linens may vary slightly in color from one another. This can be due to different dye lots from the manufacturer or from linens being added to our inventory at different times. These color variations are not defects and the difference in color will be minor. There are no refunds for color variations. Please do not wash the linens or put them in a dryer. They will need to be air dried if damp before placing them inside our provided linen bags. Linens need to be shaken free of any food debris. Linens should not be placed in plastic bags or trash bags or packed damp as they will mildew/mold and permanently damage the linens resulting in a replacement charge. If damage or stains occur which require extra cleaning, clients will be notified and billed. Such damages would include but are not limited to wax, holes, ink stains, burns, or other unusual damage. All candles must be in a glass or protective cover to eliminate wax spills on the linen. If burns occur, the item is considered damaged and must be replaced. 
Returning Items
If items are returned late, the customer will be charged for each additional day. Customers are informed about missing items as soon as they have been counted in by our staff. The customer then has 3 days to return them. If missing items are not returned on the 3rd day a replacement fee will be charged on the 4th day using the credit card on file. If the card on file is declined for the replacement fees the client will not be able to rent any items from Monarch for future events until the replacement fees have been paid. Any items missing upon return will be charged a replacement fee. Missing items are not covered by the damage waiver. We must be notified prior to an event if there are any missing or damaged items to avoid replacement charges. Should items be damaged during the event, the client is responsible for notifying a Monarch sales rep of each damaged item prior to the scheduled return date. When returning an order, all hangers, boxes/crates, and linen bags must be returned with your order or an additional fee will be assessed. We do not accept other hangers as a replacement for our linen hangers. Renter is responsible for supplying their own moving supplies. Pickup trucks arriving in rainy weather or without appropriate supplies will be denied rentals without a refund. Tarps are not acceptable as an alternative to an enclosed vehicle during rainy weather. Tables and chairs must be picked up in an enclosed vehicle, van, covered trailer, or box truck when raining. Renter assumes full responsibility of items upon possession and agrees to pay full replacement cost for lost or damaged items. This will be charged to the credit card on file. All items must be free of debris and dry before returning. All dishes, glassware, and flatware must be rinsed of food before returning. All chair sashes must be untied or an additional charge will be billed to the client. There are no refunds for items that end up not being used by the customer. A 11% non-refundable damage waiver is applied to all orders for regular maintenance and standard wear and tear of items. 
Payment Terms 
Credit cards used for reservation retainers will be billed for damages, missing items, late fees, replacement fees, and for cleaning fees. The credit card will be charged if changes are made the day of the event, such as added services, labor, or additional items are requested or required. A $30 fee will be assessed on all returned checks. When items are returned, customers are informed about missing items as soon as they have been counted in by our staff or items are found to be missing upon sorting, laundering and/or counting. You may request to stay and verify our count of items at the time of drop off. You agree to our counting of items if you waive this option. If damaged/missing items are not replaced with the exact item or paid for within 3 days of notification, the credit card on file will be billed. All order changes must be placed in writing. A written confirmation will be sent by Monarch Event Rentals following any changes to your order. Additional services require an appropriate reservation retainer and will be charged to your credit card unless other terms are specified. No substitutions are allowed within 10-days of the scheduled delivery or self-pickup date or for any time after any sale items have been reserved. All reservation retainers on non-discounted items are refundable if cancellations are made 10 or more days prior to your original scheduled delivery or self-pickup date. All reservation retainers made are nonrefundable 10 days or less prior to your scheduled delivery or self-pickup date. All regular priced items require a 50% reservation retainer of the total balance. For Custom and special ordered items, the retainer is due 30 days prior to the delivery or self-pickup date. Custom and special ordered items are non-refundable. By signing this form, you acknowledge that you agree to all the items and charges on the rental sales contract and that this is a binding contract. No services contained in this contract will be rendered, delivered, or available if the balance is not paid in full prior to your event. The last day to remove items from your order is ten days prior to your scheduled delivery or self-pickup date. A date change for the event once a payment is received makes all reservation retainers and payments nonrefundable. 
Force Majeure & Excusable Delays 
Neither party shall be held responsible for delays or cancellations due to a higher force or acts of God that renders performance of the contracted terms either completely impossible or so difficult that they are what is called commercially impractical to proceed with the event as scheduled. Below are some examples of a higher force. Note that the following does not define all possible potential higher force scenarios: epidemics, pandemics, severe weather, acts of civil unrest or unforeseen military deployment, venue fire, venue flooding. Monarch Event Rentals LLC is not obligated to perform if safety becomes an issue or if it means breaking local or state orders. However, each party has a legal obligation to take reasonable efforts to resume the duties and obligations under this contract in such time as the force majeure event has subsided. Both parties agree that during this time neither party will sue each other for breach of contract when a higher force is preventing either party from proceeding with the obligations on the contract. All attempts shall be made to reasonably reschedule the event and all amounts paid to date shall be applied to the new date within a year from the original contracted event date. Should the client desire or need to impose a new date by twelve months or more, a modification to this contract will be drafted and a fee will be applied based on the updated scope of work and logistics of the updated/new contract. The added fee must be paid by client to Monarch Event Rentals LLC within 15 days after the updated contract has been sent to the client. Note, an extended contract must not exceed a year from the original event date. The client must not settle or book a new date without consulting with Monarch Event Rentals LLC first. If reasonable efforts are made but neither party can reasonably reschedule, then Monarch Event Rentals LLC will keep the reasonable out of pocket expenses and the hours of time invested in pre-event work. This includes the time during the administrative onboarding phase and consultative meetings and liquidated damages. This amount will be deducted from the retainer. The remaining amount will be refunded to the client's card on file. Refunds may take up to 30-90 days to process. Note, the Force Majeure clause regarding refunds will not apply to Covid-19 related cancellations or postponements for events booked after March 2020 for the client assumed the risk of hosting the event and signing this contract during the pandemic. 
Covid-19 Clause 
The client who appears on this contract along with the event benefactors, patrons, guests, and vendors attending this event understand that there is some risk that cannot be eliminated such as insufficient testing, contact tracing, vaccine etc. Nonetheless, the client, event benefactors, and event patrons do desire to pursue the event regardless of city ordinances, mandates and/or recommendations by Centers for Disease Control and Prevention and other reputable resources. All parties accept the risk that individuals may become ill should they attend the event. This acceptance means the client, event benefactors, event patrons, guests and vendors understand that there are risks regardless of social distancing, sanitation, and hygiene efforts by all parties. The client accepts the risk and will not blame Monarch Event Rentals LLC and its representatives or hold them liable or responsible. The client along with the event benefactors, patrons, guests, and vendors attending this event are aware that they have a choice to stay home. Clients
along with the event benefactors, patrons, guests, and vendors attending this event have chosen not to stay home and attend the event. Monarch Event Rentals LLC assigned crew will be wearing masks while on-site and use gloves when requested and practice appropriate sanitizing habits. This equipment will be provided by Monarch Event Rentals LLC. The client is responsible for providing masks, gloves, and sanitation products to the guests if the venue is not already providing them. Monarch Event Rentals LLC is not responsible for taking temperature checks or monitoring venue capacity. 
Arbitration 
Any dispute or claim between the parties to this agreement will be resolved by binding arbitration. The parties shall attempt to agree to the selection of an arbitrator, however, in the event the parties are unable to reach an agreement, the dispute shall be referred to the American Arbitration Association. The cost of arbitration will be shared equally by the parties. 
Hold Harmless Agreement 
Renter agrees to defend, indemnify, and hold Lessor, its affiliates, employees, agents and sub-lessors harmless from and against any and all claims, liabilities, losses, damages to property, and expenses resulting from the actions, negligent or otherwise of renter, renter’s employees and agent of renter. I agree to the terms and conditions and any applicable charges. 
After Hours 
If the venue requires an after hours delivery or return, then I agree to the charges of $350 and up being charged to my card on file. I agree to pay any charges from items added to my order last minute from my wedding coordinator, venue manager, bridal party, or family member. I am aware there may be an additional hot shot fee ($75 and up) and an additional one-way delivery fee ($100 and up). 
By signing below, the client has read the terms and conditions. The client also agrees to all future updated forms if the client chooses to not resign for all updated forms. Quotes will expire after 30 days of being emailed to the client. For quotes not financially reserved within 30 days, the quoted rates may be subject to an increase in both rental products and logistical services.
